Shipment Preparation

Preparing Your Shipment

Proper shipment preparation is an important part of ensuring that goods are transported safely, efficiently, and with minimal risk of delay. Luxleo Transportation expects customers to prepare every shipment carefully before collection, regardless of whether the shipment involves local transportation, international transport, express delivery, bulk transport, warehousing, or courier services. Customers are responsible for providing accurate shipment information, selecting suitable packaging, securing the contents properly, and ensuring that all required documentation is complete and available when requested. Proper preparation helps protect shipments against movement, vibration, stacking, loading and unloading conditions, weather exposure, and other normal transportation factors. Customers should consider the nature, size, weight, quantity, fragility, value, and handling requirements of their goods before arranging collection. Luxleo Transportation may request additional preparation measures or information when a shipment requires special handling, and shipments that are inadequately prepared, incorrectly declared, improperly packaged, or unsuitable for transportation may be delayed, repacked, or refused.

Accurate Shipment Information

Customers must provide complete, accurate, and current information about every shipment before transportation begins. This includes sender and recipient details, pickup and delivery addresses, contact information, cargo category, item description, quantity, approximate weight, dimensions where applicable, packaging details, and any special transportation requirements. Shipment information must accurately represent the actual goods being transported and should not contain misleading, incomplete, or intentionally incorrect descriptions. Any changes made after booking should be communicated to Luxleo Transportation as early as possible so that the transportation arrangement can be reviewed and adjusted where necessary. Incorrect information may affect vehicle selection, route planning, pricing, loading arrangements, handling requirements, delivery schedules, and applicable transportation restrictions. Customers should carefully verify names, addresses, postal codes, telephone numbers, email addresses, tracking references, and other shipment details before submission. Luxleo Transportation is not responsible for delays or additional costs resulting from inaccurate, incomplete, outdated, or incorrectly submitted information.

Suitable Packaging Requirements

Every shipment should be packed according to the nature and characteristics of the goods being transported. Packaging must be strong enough to protect the contents from ordinary transportation conditions, including movement, vibration, stacking, loading, unloading, and reasonable handling during transit. Customers should use suitable boxes, cartons, envelopes, protective wrapping, crates, pallets, containers, or other appropriate packaging based on the size, weight, shape, fragility, and value of the shipment. Packaging should be securely closed and should not contain visible openings, weak areas, damaged edges, loose materials, or other conditions that could allow the contents to fall out or become exposed. Internal cushioning should be used where necessary to prevent items from shifting or contacting each other during movement. Heavy items should be placed in packaging capable of safely supporting their weight, while delicate goods should receive additional protective material around vulnerable surfaces and components. Customers should not rely only on external labels as a replacement for proper packaging, and Luxleo Transportation may decline shipments where packaging is clearly insufficient for normal transportation and handling conditions.

Protection Of Fragile Items

Fragile, delicate, electronic, glass, ceramic, decorative, precision, or otherwise sensitive items require additional preparation before transportation. Such goods should be individually wrapped or cushioned where appropriate and placed inside packaging that prevents unnecessary movement during transit. Empty spaces within boxes should be filled with suitable protective materials so that items cannot move excessively when packages are handled. Screens, displays, corners, handles, glass surfaces, connectors, and other vulnerable components should receive additional protection where necessary. Sensitive equipment should be prepared according to applicable manufacturer transportation recommendations, including securing removable parts, protecting exposed components, disconnecting suitable power sources, and preventing moisture or dust exposure. Customers should clearly communicate any special handling requirements before collection. Fragile labels may assist transportation personnel but do not replace proper packaging and protection. Luxleo Transportation may request additional packaging, protective measures, handling instructions, or specialized transportation arrangements where the nature of the goods creates an increased risk of damage during ordinary transportation activities.

Weight And Dimensions

Customers must provide reasonable and accurate information about the quantity, weight, and dimensions of shipment items so that Luxleo Transportation can determine suitable transportation and loading arrangements. Individual packages should not exceed the safe capacity of their packaging, and heavy goods should be prepared in a manner that allows them to be safely moved, loaded, secured, and unloaded. Where pallets, crates, containers, or other large load units are used, goods should be distributed evenly and secured properly to reduce the possibility of movement during transportation. Oversized, unusually shaped, extremely heavy, or difficult-to-handle items may require advance arrangements, specialized equipment, additional personnel, or specific transportation conditions. Customers should not conceal the actual weight or dimensions of a shipment or provide inaccurate information in order to obtain unsuitable transportation. Significant differences between the information provided during booking and the actual shipment may result in revised arrangements, additional charges, delayed collection, or refusal where safe transportation cannot reasonably be provided.

Documentation And Identification

All required shipment documentation should be completed and supplied before or at the time of collection, depending on the nature of the shipment and applicable transportation requirements. Documents should be accurate, readable, complete, and consistent with the actual contents of the shipment. Customers should ensure that invoices, delivery documents, permits, declarations, authorization letters, or other supporting records are available where required. Each package should be appropriately identified using the relevant shipment or tracking information so that it can be correctly matched with the transportation record. Labels should be securely attached to a visible surface and should remain readable throughout handling and transportation. Old labels, duplicate shipping marks, unrelated addresses, and previous tracking information should be removed or covered where they could create confusion. Customers should retain copies of important shipment documents for their own records. Where documentation is missing, inconsistent, incomplete, or insufficient, Luxleo Transportation may request corrections or additional information before proceeding with transportation.

Prohibited And Restricted Items

Customers must not include prohibited, restricted, unlawful, hazardous, or otherwise unacceptable goods in a shipment without appropriate authorization and compliance with applicable requirements. Items that may create risks to people, vehicles, facilities, other shipments, or the environment require particular attention and may be subject to specific transportation restrictions or exclusion. Customers are responsible for identifying the nature of their goods and informing Luxleo Transportation about any item that may require special handling, authorization, documentation, packaging, labeling, or transportation conditions. Goods must not be concealed, falsely described, incorrectly classified, or intentionally presented as ordinary cargo when they require special treatment. If Luxleo Transportation discovers or reasonably suspects that a shipment contains prohibited or improperly declared goods, the shipment may be refused, held, returned, delayed, or handled according to applicable requirements. Customers may also be responsible for costs or additional handling requirements arising from inaccurate declarations or improperly prepared restricted shipments.

Sealing And Shipment Security

After the contents have been properly packed, customers should securely close and seal every shipment to reduce the possibility of accidental opening, loss, contamination, or exposure during transportation. Sealing materials should be appropriate for the packaging and strong enough to maintain closure during normal handling and movement. For larger shipments, pallets, crates, containers, or grouped packages should be secured according to their size, weight, and load characteristics. Customers should avoid leaving loose items, accessories, documents, or other materials outside the main package where they could become separated during transportation. High-value or sensitive shipments may require additional security measures depending on their nature and transportation conditions, and customers should communicate any specific security requirements before collection. Shipment identification should remain visible after sealing so that transportation personnel can correctly recognize and process the package. Luxleo Transportation may inspect external packaging or request resealing where a shipment appears inadequately secured before transportation begins.

Pickup And Collection Preparation

Customers should ensure that shipments are completely prepared and ready for collection at the agreed pickup location and within the scheduled collection period. The shipment should be accessible to authorized transportation personnel, and necessary loading instructions, building permissions, parking information, loading areas, contact details, or location restrictions should be communicated in advance where applicable. Customers should ensure that the goods presented for collection match the shipment information submitted during booking, including the number of packages, cargo type, approximate weight, and packaging condition. Where special loading requirements exist, such as restricted access, stairs, narrow entrances, loading docks, oversized goods, or equipment requirements, these details should be disclosed before collection. Delays caused by unavailable shipments, inaccurate addresses, inaccessible locations, incomplete preparation, or missing documentation may affect the planned transportation schedule. Customers should remain available through the contact information provided during booking when necessary to assist with collection coordination and resolve reasonable questions regarding the shipment.

Special Handling And Delivery

Any shipment requiring special handling should be clearly identified and communicated before transportation is arranged. Customers should provide relevant instructions for goods that require careful positioning, protection from moisture, limited stacking, upright transportation, additional security, controlled handling, or other specific considerations. Special instructions should be practical, clearly communicated, and consistent with the characteristics of the goods. Customers should also provide accurate delivery information when the destination has specific access conditions, operating hours, appointment requirements, receiving procedures, or location restrictions. For commercial deliveries, customers should ensure that the receiving party is informed about the expected delivery and is prepared to accept the shipment. Luxleo Transportation will make reasonable efforts to follow agreed transportation and handling instructions where suitable arrangements are available, but special requirements may affect scheduling, vehicle selection, handling procedures, or transportation costs. Customers should communicate any changes promptly rather than waiting until the shipment is already in transit.

Customer Preparation Responsibility

Before handing over a shipment to Luxleo Transportation, customers should confirm that the correct items and quantities have been packed, the packaging is secure, shipment information is accurate, labels and tracking details are properly attached, required documents are available, and all special requirements have been communicated. Customers should also verify that the shipment does not contain prohibited or improperly declared goods and that the selected packaging is appropriate for the expected transportation conditions. Where multiple packages form part of one shipment, each package should be identified consistently so that the complete shipment can be recognized and handled correctly. Customers are responsible for preparing goods in a condition suitable for transportation and should retain relevant records, receipts, documentation, and shipment references for their own purposes. Luxleo Transportation may provide reasonable guidance regarding shipment preparation, but such guidance does not replace the customer's responsibility to understand the nature of the goods and prepare them appropriately. Failure to follow these preparation requirements may result in delays, additional handling, repackaging requirements, collection issues, transportation restrictions, or refusal where safe transportation cannot reasonably be provided.
